CEO & COO Executive Assistant

Your tasks

  • You are a member of the CEO Office and report directly to the CEO
  • Support the two Executive and Board members, CEO and COO, by handling their daily administrative tasks including:
    • Manage their agendas: plan, coordinate & supervise meetings and appointments, prepare Board meetings in close collaboration with the company’s General Counsel
    • Maintain Email correspondences, mainly in English
    • Fine-tune presentations, including the creation of complex graphics and animation
    • Plan and organise business trips for CEO and COO as well as their guests
    • Handle the expense reports as well as manage the budget of the CEO Office
  • Act as the administrative point of contact for internal and external clients as well as our mother company in Japan
  • Responsible to plan, coordinate and manage all internal corporate events in close collaboration with the Communication Department and other stakeholders. During peak periods and for large internal events, you will be supported by relevant departments
  • Support occasionally team colleagues within the CEO Office (including Corporate Communication) during peak time

Who you are

  • Certified commercial degree (KV or Handelsschule) and preferably diploma as an Executive Assistant (Direktionsassistentin mit eidg. Fachausweis) or Bachelor degree
  • At least 3 years’ experience in a similar, senior Executive position, ideally in an international company
  • Fluent in English (written and spoken), good German skills
  • Excellent knowledge of MS Office (Word, Excel and PowerPoint)
  • Well organised, able to multi-task and to work under pressure, yet maintaining a high-quality standard
  • Pro-active, reliable, trustworthy and able to work precisely, independently as well as flexible, well-structured and foresighted
  • Ability to adapt fast and professional to changes
  • Very positive, hands-on attitude with optimism and with a great sense of humour, yet a calm personality
  • Strong communication skills
